The Billing Systems Administrator is responsible for the configuration, maintenance, and optimization of our various billing platforms including CollaborateMD and other similar platforms. This role plays a key part in building, standardizing, and documenting billing system workflows while ensuring accurate setup, billing configuration, chargemaster maintenance, contracted rate management, rules configuration and system integrations. The role serves as the subject matter expert for system functionality and partners closely with billing operations, finance, IT, and directly with our customers to support scalable and compliant revenue cycle operations.
• Add and maintain payers within CollaborateMD, including maintaining and creating payer-specific billing rules, payer ID, and claim configurations.
• Add and manage provider records, ensuring accurate demographic, credentialing, and billing information.
• Create and maintain provider records in Availity including provider setup, attestation oversight, and remittance and attachments enrollments.
• Maintain the chargemaster, including pricing updates, new services, and retired items.
• Manage contracts and payer fee schedules.
• Configure and maintain billing codes, including CPT, HCPCS, ICD, modifiers, revenue codes, remittance and adjustment codes System Roadmap and Release Management
• Maintain an ongoing review of billing platform release notes, upcoming features, and product roadmap updates across all supported systems.
• Lead testing and validation of new features prior to production release, including development of test plans, documentation of outcomes, and go/no-go recommendations.
• Partner with Revenue Cycle Operations leadership to plan and execute the rollout of new system capabilities, ensuring staff readiness, communication, and adoption tracking.
• Maintain a forward-looking systems roadmap aligned with organizational growth, compliance requirements, and operational goals.
• Serve as the primary point of contact for billing platform vendors, including CollaborateMD and other integrated systems.
• Open, track, and manage vendor support tickets to resolution, ensuring timely follow-up and clear documentation of issues and outcomes.
• Build and maintain vendor relationships with a focus on optimizing system performance, resolving recurring issues, and identifying opportunities for configuration improvements.
• Escalate systemic or high-impact issues appropriately and advocate for operational needs during vendor conversations, product feedback sessions, and release discussions. Cross-Functional Project Leadership
• Lead and manage billing system-related projects from initiation through completion, including new customer onboarding, system migrations, and platform enhancements.
• Coordinate cross-functional workstreams involving billing operations, IT, finance, and external partners to ensure project milestones are met on time and within scope.
• Serve as the billing systems subject matter expert in organizational initiatives that intersect with revenue cycle technology.
• Maintain claim status reasons within CMD to support timely follow-up and resolution.
• Configure, support, and troubleshoot interfaces and APIs, including integrations with clearinghouses,
EHRs, and external systems.
Support and Governance
• Build and maintain system documentation, workflow diagrams, and configuration standards.
• Partner with our tech teams and help facilitate system integrations between customer EMRs and CMD.
• Serve as an escalation point for software configuration and ongoing maintenance.
Reporting
• Assist with creating ad hoc reports in billing software.
• Build and maintain library of quality assurance reports to ensure there are no issues that need to be
addressed in configuration.

• Bachelor’s degree in Healthcare Administration, Business, Finance, Information Systems, or equivalent
experience.
• 5–8 years of experience in healthcare billing systems or revenue cycle operations.
• Hands-on experience with CollaborateMD (CMD) or similar healthcare billing platforms.
• Demonstrated experience working across multiple billing platforms or systems, not limited to a single platform.
• Strong understanding of healthcare billing workflows, claims processing, and payer requirements.
• Experience supporting system integrations, APIs, and interface troubleshooting.
• Proven experience managing vendor relationships, including ticket management, escalation, and outcome optimization.
• Experience building workflows and SOPs for new systems or functions.
• Familiarity with healthcare revenue integrity, audit readiness, and payer compliance.
• Experience leading system implementation or migration projects.
• CRCR, CPMA, or equivalent revenue cycle certification.
